Terms of Service
The short version. These Terms are a business-to-business agreement. Your Business owns its data; we look after it and use it only to run crewduo. Subscriptions renew until you cancel, and cancelling takes effect at the end of the period you have paid for. When you send texts or take payments through crewduo, you are responsible for having your clients' consent and following the law. If your account closes, we keep your data for 30 days, then delete it. This summary is not a substitute for the Terms below.

1. About this agreement
These Terms of Service (the "Terms") are a legal agreement between Doable Link Inc., a corporation incorporated under the Canada Business Corporations Act ("Doable Link", "we", "us" or "our"), and the business, organization or other entity that creates or uses a crewduo account (the "Business", "you" or "your"). crewduo is a product of Doable Link.
By creating an account, clicking to accept these Terms, or using the Service, you agree to these Terms on behalf of the Business. You confirm that you have authority to bind the Business. If you do not have that authority, or you do not agree, do not use the Service.
The following documents form part of these Terms: the Privacy Policy, the Acceptable Use Policy, the Billing, Cancellation & Refund Policy, the Data Processing Addendum and the Messaging (SMS) Terms (together, the "Policies").
2. Definitions
- "Service" means crewduo: the web application, the crewduo mobile apps, the websites, online booking pages and client portals we host for Businesses, our APIs, integrations, and related support.
- "Users" means the people the Business allows to use the Service under its account, such as owners, administrators, office staff, technicians and contractors.
- "Clients" means the Business's own customers and prospective customers. This includes people whose information the Business puts into the Service, and people who deal with the Business through it, for example by booking online, using a client portal, receiving texts or emails, or paying an invoice.
- "Customer Data" means all data submitted to the Service by or for the Business, its Users or its Clients. Examples are client records, service addresses, jobs, visits, quotes, invoices, photos, forms, signatures, messages and call records.
- "Subscription" means the plan and add-ons the Business selects. "Subscription Term" means each monthly or annual billing period.
3. Eligibility and accounts
- The Service is for business use only, not for personal, family or household purposes. The person who creates an account must be at least 18 years old.
- You must give accurate account and billing information and keep it up to date.
- You are responsible for everything done under your account, including the acts and omissions of your Users. You decide who is a User and what permissions they have. You must remove a User's access when they should no longer have it.
- Users must keep their sign-in details confidential. We strongly recommend turning on two-factor authentication. Tell us promptly at [email protected] if you suspect unauthorized access.
- We may rely on instructions from the account owner and from administrators of your account.
4. Free trial
We offer one free trial, currently 14 days with every feature, and no payment card is needed to start. It is limited to one per Business and is not offered again on another plan. We do not charge you during the trial. If you choose a paid plan during the trial, we save your payment method and take the first payment on the day the trial ends. You can also buy a plan straight away without a trial. If you have not chosen a plan by the end of the trial, you keep full access for a further 7 days, after which your Business becomes read-only: you can sign in, view and export your Customer Data, and your clients can still pay open invoices, but nothing new can be created until a plan is chosen. The free plan is one of the choices when your Business fits its limits. If no plan is chosen, Customer Data from an expired trial is deleted 90 days after the trial ends; we send reminders at 30, 60 and 83 days. Choosing a plan before then restores full access. Closing the account is handled as described in section 13.
5. Subscriptions, fees and payment
- Fees. Fees are shown on our pricing page or at checkout, in the currency shown there. Subscription fees are billed in advance for each Subscription Term.
- Automatic renewal. Subscriptions renew automatically for the same term until cancelled. You authorize us, and our payment processor Stripe, to charge your payment method for each renewal and for any other fees you incur.
- Plan changes. Upgrades take effect immediately: we credit the unused time on your old plan against the rest of the term on the new one and charge the difference straight away, and if that payment fails your plan does not change. Downgrades take effect at the next renewal. Plan limits, such as numbers of Users, locations or stored files, apply to your plan, and you cannot move to a plan whose limits your Business is over until you have reduced what you have. When you pay yearly, add-ons are billed yearly too.
- Usage-based charges. Some features are charged by use, for example text messages, phone calls, phone numbers or other metered features. We show those charges in the Service before you turn the feature on, and bill them as described there.
- Taxes. Fees do not include taxes. You are responsible for applicable sales, use, goods and services, harmonized, provincial, Quebec and similar taxes, other than taxes on our net income.
- Late payment. If a payment fails, we retry the charge and notify the account owner. Everything keeps working for 7 days after the first failed payment. If an amount is still unpaid then, we pause your plan and add-ons until it is paid: only the account owner or a user with billing permission can sign in, and only to fix the payment. We keep your Customer Data, phone numbers and account credit for a further 30 days. If it is still unpaid after that, the subscription ends, the Business moves to the free plan and its phone numbers are released. Paying at any point restores the plan straight away.
- Seasonal hold. On a monthly paid plan you may put your Business on a seasonal hold from Plan & subscription for up to 12 months at a time. While on hold your plan's fees are paused and a flat hold fee is charged monthly instead, starting when the period you already paid for ends, plus a fee for each phone number you choose to keep. During a hold your Customer Data is kept and Users can sign in and view it, your Clients can still view and pay invoices, and nothing can be created or changed; features that run on their own or cost money to operate (such as the AI receptionist, texting, reminders, online booking and integrations) are switched off, and calls to kept numbers are not answered. Phone numbers you do not keep are released when the hold starts. Your plan resumes on the date you chose, or earlier if you end the hold; if the period you had paid for has run out by then, a new billing period starts that day. Hold fees are not refundable.
- Price changes. We will give at least 30 days' notice of a price increase. It takes effect at your next renewal. You may cancel before then.
- Refunds. Refunds, credits and cancellations are governed by the Billing, Cancellation & Refund Policy.
- No in-app purchases. Subscriptions are bought through our website. The crewduo mobile apps are free to download and do not sell subscriptions.
6. Your Customer Data
- Ownership. As between you and us, the Business owns Customer Data.
- Our use. You give us a limited, worldwide licence to host, copy, transmit, process and display Customer Data. We may use it only to provide, secure, support and maintain the Service, to act on your instructions (including the integrations you turn on), and as required by law, in each case as described in the Privacy Policy and the Data Processing Addendum. We do not sell Customer Data. We do not use it to train third-party generative AI models.
- Roles. For Customer Data, the Business decides why and how personal information is processed and is responsible for it under privacy law. We process it on the Business's behalf as its service provider. The Data Processing Addendum applies to that processing.
- Your responsibilities. You are responsible for the accuracy, quality and legality of Customer Data. You must have every right, notice and consent required to collect it and to let us process it. That includes telling your Clients how you handle their information, obtaining consent to photograph people or property where needed, and complying with privacy laws that apply to your Business.
- De-identified data. We may create aggregated or de-identified information from use of the Service, such as feature usage statistics, to operate and improve the Service. That information will not identify you, your Users or your Clients.
7. Messaging, calls and notifications
- The Service lets you send emails and text messages, and make and receive calls, to and from your Clients and Users, including from phone numbers we provide. You are the sender of those communications. You are responsible for their content and for complying with the laws that apply to them, including Canada's Anti-Spam Legislation (CASL), the U.S. Telephone Consumer Protection Act (TCPA), the CAN-SPAM Act, telemarketing and do-not-call rules, and carrier requirements such as CTIA guidelines and A2P 10DLC registration.
- You must get and keep a record of any consent the law requires before you message someone. You must identify your Business in your messages and honour opt-out requests (for example, a reply of STOP) promptly.
- You authorize us to give information about your Business, and about your consent and opt-out practices, to carriers, messaging providers and registries. We do this to register and maintain your messaging and to investigate complaints.
- If you turn on features that record or transcribe calls, you are responsible for giving the notice and obtaining the consent that recording laws require.
- We do not guarantee that a carrier will approve a registration or that a message will be delivered. We may block, limit or suspend messaging that breaks the law, carrier rules or the Acceptable Use Policy, or that has not been approved.
8. Payments from your Clients
- Online and in-person payment features are provided by Stripe, Inc. and its affiliates ("Stripe"). To accept payments, the Business must open a Stripe connected account and agree to the Stripe Connected Account Agreement, which includes the Stripe Services Agreement. Stripe may change those terms from time to time. You authorize us to share information about your Business and its transactions with Stripe, and to receive information from Stripe, to operate these features.
- Doable Link is not a party to transactions between you and your Clients. We are not a bank, money transmitter or payment processor, and we do not hold your funds. You are responsible for your prices, taxes, receipts, refunds to Clients, disputes and chargebacks, and for your own refund and cancellation policies. Stripe charges its fees under its own pricing.
- Card readers and tap-to-pay features are also subject to the terms of Stripe, Apple or Google, as applicable.
- If you turn on pay-over-time financing, it is offered to your Clients by Affirm through your Stripe account. Affirm decides each application, sets the terms and pays the purchase to you; Stripe's fees for Affirm apply. Any monthly estimate shown is for illustration only. Doable Link is not a lender and does not arrange credit.
9. Integrations and third-party services
You may connect third-party services to the Service, such as QuickBooks Online (Intuit), Sign in with Google, calendar applications or Stripe. Your use of a third-party service is governed by that provider's terms and privacy policy. When you connect one, you instruct us to exchange Customer Data with it as needed for that integration. We are not responsible for third-party services, for their availability, or for how they handle data sent to them at your direction. You can disconnect an integration at any time in your Business settings.
10. AI features
Some features use artificial intelligence models, supplied by the providers listed on our Subprocessors page, to produce suggestions. Examples are the guided setup assistant, the in-app copilot, form generation and structuring technicians' recommendations. AI output can be inaccurate or incomplete. You must review it before you rely on it or send it to anyone, especially prices, quotes, schedules and messages. The Service asks for confirmation before an AI suggestion changes your data. Do not use AI features to make decisions that have legal or similarly significant effects on a person without human review.
11. Acceptable use
You and your Users must follow the Acceptable Use Policy. In particular, you must not:
- use the Service unlawfully, or to send spam or unwanted messages;
- upload malicious code, or try to gain unauthorized access to the Service or other accounts;
- copy, modify, reverse engineer or decompile the Service, except where the law allows this despite this restriction;
- resell, rent or sublicense the Service, or give access to anyone other than your Users, without our written permission;
- use the Service to build a competing product, or scrape or bulk-extract it other than through features we provide; or
- get around plan limits or technical restrictions.
12. Intellectual property and licence
- We and our licensors own the Service, including its software, design and documentation, and the crewduo name and logos. We reserve all rights not expressly granted in these Terms.
- Subject to these Terms and payment of fees, we give the Business and its Users a limited, non-exclusive, non-transferable, non-sublicensable right to use the Service during the Subscription Term for the Business's internal business operations. That includes installing the mobile apps on devices the Users own or control.
- You are responsible for content you publish on public pages we host for you, such as your online booking page. You give us a licence to host and display that content. Send copyright or trademark complaints to [email protected].
- If you send us feedback or suggestions, we may use them without any obligation to you.
13. Cancellation, suspension and termination
Cancellation by you
You may cancel your Subscription at any time in your billing settings or by contacting support. Cancellation takes effect at the end of the current Subscription Term. You keep access until then. Refunds are covered by the Billing, Cancellation & Refund Policy.
Suspension
We may suspend all or part of the Service if an amount is overdue, if you or your Users break the Acceptable Use Policy, if your use creates a security or legal risk, or if a carrier, payment processor or authority requires it. Where practical, we will tell you first and restore access promptly once the issue is resolved.
Termination
Either party may terminate these Terms if the other materially breaches them and does not fix the breach within 30 days after written notice. We may terminate immediately for serious or repeated violations of the Acceptable Use Policy or for unlawful use. We may also end the Service for convenience on 60 days' notice. If we do, we refund any prepaid fees for the unused part of the Subscription Term.
What happens to your data
- When your account closes, whether you close it, your Subscription ends, or we terminate, we keep your Customer Data for 30 days. During that time the account owner may ask us to reactivate the account or to provide a copy of the Customer Data in a commonly used format.
- After those 30 days, we delete Customer Data from our active systems. Backup copies are overwritten within a further 7 days.
- If you want your Customer Data deleted sooner, the account owner must contact us at [email protected]. We delete it once we have verified the request.
- We may keep limited information where the law requires it, such as our own billing, tax and accounting records, or where we need it to resolve disputes or enforce these Terms. That information stays subject to these Terms.
Sections 5 (for amounts owed), 6, 8, 12 and 13 through 22 survive termination.
14. Confidentiality
Each party may receive non-public information from the other that is marked confidential or that a reasonable person would understand to be confidential. The receiving party will use it only to perform these Terms, will protect it with at least reasonable care, and will share it only with personnel, contractors and advisers who need it and are bound by similar duties. This does not apply to information that is public through no fault of the receiving party, was already lawfully known to it, or was independently developed. A party may disclose confidential information where the law requires, after giving notice where lawful.
15. Security
We maintain reasonable administrative, technical and physical safeguards designed to protect Customer Data, as described in our Security Overview and the Data Processing Addendum. We will notify you without undue delay after we confirm a security breach that affects your Customer Data, as described in the Data Processing Addendum. You are responsible for securing your Users' devices and sign-in details, and for promptly removing access for people who should no longer have it.
16. Warranties and disclaimers
Each party confirms that it has authority to enter into these Terms. We warrant that the Service will perform materially as described in our documentation during a paid Subscription Term. If it does not, and you tell us, we will make reasonable efforts to fix it. If we cannot fix it within a reasonable time, either party may terminate the affected Subscription, and we will refund prepaid fees for the unused part of the term. That is your exclusive remedy for breach of this warranty.
Except as expressly stated in these Terms and to the extent permitted by law, the Service is provided "as is" and "as available". We disclaim all other warranties and conditions, express or implied, including merchantability, quality, fitness for a particular purpose, non-infringement, and that the Service will be uninterrupted or error-free.
Travel times, routes, maps, schedule suggestions, tax calculations and AI output are estimates. You remain responsible for your own pricing, tax filings, employment and payroll obligations (including commission, timesheet and time-off decisions), professional judgement, and the services you provide to Clients. Information entered in a mobile app while offline is saved on that device until it syncs. It may be lost if the device is lost or reset before then.
17. Limitation of liability
To the extent permitted by law, neither party will be liable for any indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue, goodwill or data, even if advised of their possibility.
To the extent permitted by law, each party's total liability arising out of or relating to these Terms will not exceed the fees paid and payable by the Business for the Service in the 12 months before the event giving rise to the claim, or US$100 if no fees were payable.
These limits do not apply to the Business's obligation to pay fees, to either party's indemnity obligations, to liability for fraud, gross negligence or wilful misconduct, or to liability that cannot be limited by law.
18. Indemnities
- By you. The Business will defend and indemnify Doable Link and its officers, employees and contractors against third-party claims, and related losses and reasonable costs, arising from Customer Data, from messages or calls you send or make through the Service, from services you provide to your Clients, or from your or your Users' breach of these Terms, the Acceptable Use Policy or the law.
- By us. We will defend the Business against third-party claims that the Service, as we provide it, infringes that party's intellectual property rights, and pay resulting damages and costs finally awarded or agreed in settlement. This does not apply to claims caused by Customer Data, third-party services, combinations with things we did not provide, or changes we did not make. If we believe the Service may infringe, we may modify it, obtain a licence, or terminate the affected Service and refund prepaid unused fees.
- The indemnified party must promptly notify the other of the claim, give it control of the defence and settlement (though it may not admit fault for the indemnified party without consent), and provide reasonable cooperation.
19. Mobile apps and app stores
This section applies when a User downloads a crewduo mobile app from the Apple App Store or Google Play.
- These Terms are between the Business (and its Users) and Doable Link only, not Apple Inc. ("Apple") or Google LLC ("Google"). Doable Link, not Apple or Google, is solely responsible for the app and its content.
- For the iOS app, your licence is limited to using the app on Apple-branded products that you own or control, as permitted by the Usage Rules in Apple's Media Services Terms and Conditions, except that the app may be accessed by other accounts associated with you through Family Sharing or volume purchasing.
- Apple has no obligation to provide maintenance or support for the app. Doable Link provides support as described on our Support page.
- If the app fails to conform to any applicable warranty, you may notify Apple, and Apple will refund the purchase price for the app, if any. To the maximum extent permitted by law, Apple has no other warranty obligation for the app. Any other claims, losses, liabilities, damages, costs or expenses caused by a failure to conform to a warranty are Doable Link's responsibility, to the extent these Terms provide.
- Doable Link, not Apple, is responsible for addressing any claims by you or a third party relating to the app or your possession or use of it. That includes product liability claims, claims that the app fails to meet a legal or regulatory requirement, and claims under consumer protection, privacy or similar laws.
- If a third party claims that the app or your possession or use of it infringes their intellectual property rights, Doable Link, not Apple, is responsible for the investigation, defence, settlement and discharge of that claim, to the extent these Terms provide.
- You represent that you are not located in a country subject to a U.S. or Canadian government embargo, or designated as a "terrorist supporting" country, and that you are not on any U.S. or Canadian list of prohibited or restricted parties.
- You must comply with any applicable third-party terms when using the app, such as your mobile carrier's terms.
- Apple and its subsidiaries are third-party beneficiaries of these Terms as they relate to the iOS app. Once you accept these Terms, Apple has the right, and is deemed to have accepted the right, to enforce them against you as a third-party beneficiary.
- Use of Google Play is also subject to Google Play's Terms of Service.
Questions, complaints or claims about the apps go to the contacts in section 23.
20. Changes
- To the Service. We improve and change the Service over time. We will not materially reduce the core functionality of a paid plan during your current Subscription Term.
- To these Terms. We may update these Terms and the Policies. We will post the new version with a new "last updated" date. For material changes we will give at least 30 days' notice by email or in the Service, and signed-in Users may be asked to accept the new version. If you do not agree to a change, you may cancel before it takes effect. Continuing to use the Service after a change takes effect means you accept it.
21. Governing law and disputes
These Terms are governed by the laws of the Province of Ontario and the federal laws of Canada that apply there, without regard to conflict-of-laws rules. The United Nations Convention on Contracts for the International Sale of Goods does not apply. Before starting proceedings, the parties will try in good faith for 30 days to resolve a dispute by negotiation, starting with notice to the other party (to us at [email protected]). The courts located in Toronto, Ontario have exclusive jurisdiction, and each party submits to them. Either party may seek urgent injunctive relief in any court of competent jurisdiction. To the extent permitted by law, each party may bring claims against the other only in its individual capacity and not as a plaintiff or class member in a class or representative proceeding.
22. General
- Entire agreement and precedence. These Terms and the Policies are the entire agreement about the Service and replace any prior agreement on the subject. If documents conflict, the following order applies: a signed order form or written agreement with us, then the Data Processing Addendum (for processing of personal information), then these Terms, then the other Policies.
- Assignment. Neither party may assign these Terms without the other's consent. Either party may assign them without consent to a successor in a merger, acquisition or sale of all or substantially all of its relevant business or assets.
- Force majeure. Neither party is liable for delay or failure caused by events beyond its reasonable control, such as outages of internet, hosting or carrier networks, natural disasters, war, labour disputes or government action. This does not excuse payment obligations.
- Notices. We may send notices to the account owner's email address or through the Service. You may send notices to [email protected].
- Export and sanctions. You will not use or allow access to the Service in violation of Canadian, U.S. or other applicable export control or sanctions laws.
- Publicity. We will not use your name or logo to identify you as a customer without your permission.
- Other terms. Failing to enforce a provision is not a waiver. If a provision is unenforceable, the rest remains in effect. The parties are independent contractors. Except as stated in section 19, there are no third-party beneficiaries. Acceptance of these Terms electronically is as binding as a signature.
- Language. The parties have required that these Terms and all related documents be drawn up in English. Les parties ont exigé que la présente convention et tous les documents qui s'y rattachent soient rédigés en anglais.
23. Contact
